Registration Policy

Thank you for choosing to join us this year for one of our courses, trips or retreats. Please take a moment to read through our policies regarding the registration process, tuition and fees, cancellations, and refunds.   We look forward to helping you prepare for your course and spending time with you. Bird Mentor courses are open to all who wish to attend. Our acceptance process does not discriminate on the basis of race, creed, sex, color, religion, disability, sexual orientation or national origin. We do have minimum age requirements for courses. We reserve the right to refuse acceptance to a course if we consider that a person’s physical or emotional health may present a risk to themselves or other participants.

 

REGISTRATION

The registration process has a few steps.

  1. The first step is deciding which course to take. You’ve just done that.
  2. The second step is to complete the registration papers – Student Information Sheet, Student Health History and Student Agreement – either linked on the Thank You page or emailed to you soon.  Once we receive your papers we will review them and contact you if there are any concerns.
  3. The final step is the full payment of your tuition.  If you registered online your final payment will be automatically withdrawn 6 weeks prior to the start date of the course.

You are registered for a course once your deposit is received. You become officially enrolled in the course once all the registration papers have been completed, received and approved and the tuition paid in full.

 

TUITION AND FEES

Tuition must be paid 6 weeks (42 days) in advance of the course starting date. Applicants who have not paid in full by this time may forfeit their registration position and may be replaced by a person on the wait list.

 

WAIT LIST 

Students are registered on a first-come basis. Once a course is full, you may be placed on the course’s wait list. This involves completion of the standard course registration papers and payment of the course deposit. In the event a registered student does not return the registration papers and tuition in a timely manner or is not accepted to the course for other reasons or needs to withdraw from the course prior to the start date, then wait listed students will be notified of the opportunity to join the course in order of the date they registered and will be enrolled in the course upon receipt of the full tuition payment.

 

ENROLLMENT CLOSING DATE

Bird Mentor wants to make certain that everyone – students and instructors – has time to prepare for a course. Course enrollment is closed seven (7) days prior to the start of the course. We require that all registration papers and tuition payments be received by the time the enrollment closes.

 

OPTIONAL FEES AND OTHER EXPENSES

Your tuition covers services provided during the time of the course. You will be responsible for arranging and the expense of travel, lodging and meals to and from the start location of your course.

 

DEPOSIT REFUNDS 

Your deposit holds your place on a course until your tuition is paid in full and you are enrolled in the course.   The registration page of your course will define what the nonrefundable portion of your deposit is.

You will have 48 hours from when you pay your deposit to cancel your registration and receive a full deposit refund.  If you are on the wait list then you will have 48 hours from when you are notified that a position is available to cancel your registration and receive a full deposit refund. If you are not notified of an available position on the course you will receive a full refund of your deposit.

If you are not accepted to a course for reasons of unresolvable conditions that have been noted on your Health History Form you will receive a refund of your deposit and any tuition paid.

 

COURSE CANCELLATION AND TUITION REFUNDS

We will decide if sufficient students have registered for the course by 42 days prior to the course start date. This decision threshold is to give us plenty of time to prepare for the course and students plenty of time to make travel arrangements.   If a course is canceled due to insufficient students, then registered students will receive a refund of any paid tuition.

Courses may be canceled for reasons outside of our control, for instance natural disasters. In these situations, we will work with students to find alternatives to the course, however, tuition refunds may not be possible in these circumstances. Trip cancellation insurance may be able to assist students recover tuition in theses cases.

Bird Mentor is not responsible for other costs related to attending the course that may be incurred by students, such as travel, lodging and meals before and after the course. Students are encouraged to acquire trip cancellation insurance, which may provide reimbursement for expenses incurred in the event a trip is cancelled.

 

TUITION RETAINMENT SCHEDULE

We rely on the commitment of the registered students once we dedicate staff and resources to a course. It may be difficult or nearly impossible to replace a student the closer we get to the start date. For these reasons, a full refund of tuition paid is not possible when a student cancels their registration or enrollment within six weeks of the course.   Please be aware of the following tuition retainment schedule should you need to cancel your enrollment.

(Numbers refer to days prior to course start date)

43 or more days = 0% of course tuition (only deposit is retained by Bird Mentor)

42 – 15 days = 50% of course tuition

14 or less days = 100% of course tuition

Students who fail to show up for the course, arrive after the start of the course or voluntarily or involuntarily leave the course for any reason will forfeit the entire tuition paid and will not be entitled to any refund. Bird Mentor reserves the right, at the instructors discretion, to remove a student from a course whose conduct is detrimental to the course, or is endangering the health, safety or well being of themselves or others. Trip cancellation insurance may be able to reimburse all or part of the tuition cost for unforeseen circumstances that may prevent or delay a student’s arrival for a course or interrupt a student’s participation in a course.
